The Pittsgrove Township School District is seeking qualified candidates to fill the following vacancy for the 2025-2026 school year:



Secretary - High School Counseling Secretary



Employment Terms: 12-month work year.  The position is full-time with benefits (SEHBP) and offers a starting salary of $43,531 - $55,738, depending on experience and qualifications.

QUALIFICATIONS:

  1. High School diploma or equivalent.
  2. Secretarial experience necessary.
  3. Effective oral and written communication skills.
  4. Working knowledge of computer applications, e.g. MS Office, G-Suite.
  5. High degree of professionalism, integrity and confidentiality.
  6. Required criminal history check and proof of U.S. citizenship or resident alien status.
  7. Current residency in New Jersey, approved residency waiver or candidate agrees to obtain residency within one year of employment.

 

PREFERRED QUALIFICATIONS:

  1. Experience in public school operations is a plus.
  2. Ability to shift quickly between several tasks without loss of continuity.
  3. Ability to independently identify and undertake additional tasks to be accomplished.
  4. Ability to establish and maintain effective working relationships.
  5. Ability to listen actively and demonstrate understanding.
  6. Ability to maintain restraint and keep calm when faced with frustrated individuals. (Remains calm, uses good judgment and thinks quickly and rationally in difficult or stressful situations.)

 

ESSENTIAL JOB FUNCTIONS

  1. Administrative support: Perform general clerical duties, such as typing correspondence, reports, and memos; distributing mail; and managing office supplies.
  2. Record keeping: Maintain accurate and confidential student records, including cumulative files, transcripts, test scores, and disciplinary records.
  3. Student and parent support: Assist with student registration, enrollments, withdrawals, and scheduling. Respond to inquiries from students and parents regarding academic information and school procedures.
  4. Scheduling and coordination: Coordinate meetings, appointments for director of school counseling, school counselors, and events such as college and career fairs or college representative visits.
  5. Report generation: Run reports from student information systems for counselors and administrators as needed. 

 

Examples of Work: 

  • Composes and types letters and reports
  • Maintains a record retrieval system
  • Ensures that forms are properly filled out and verifies that established criteria are met
  • Maintains specialized records to include pupil cumulative records and requests same from former schools
  • Implements appropriate portions of the Federal Privacy Act
  • Composes routine correspondence for supervisor’s signature 
  • Proofreads
  • Makes appointments and maintains schedule and calendars for assigned supervisor(s)
  • Greets and escorts representatives from colleges and other visitors
  • Reproduces materials with various types of machines
  • May be responsible for registering and/or assisting with the registration of students
  • Preparing student transcripts for transfer, maintaining and circulating transfer forms and records student attendance
  • Answers phones and answers those questions with the assigned scope of responsibility and refers other inquires to cognizant individuals
  • Compiles reports
  • Maintains inventories
  • Operates various office machines
  • May be responsible for maintaining financial records
  • Gives support to student aides assigned to the School Counseling Department
